Members All:

I hope you are planning to attend the 112th Annual Convention of the Florida State Elks Association. The convention is being held at the Orlando World Center Marriott, 8701 World Center Drive, Orlando, Florida, 32821, May 24-27, 2018. Individual reservations are now being accepted through the Marriott reservations link on our website at www.floridaelks.org. A one-night deposit or credit card guarantee will be required for each room you are reserving. Rooms sleep a maximum of four people and the standard room rate for a double or single is $135.00 plus 12.5% tax, or $151.88 per night. The rate for a pool view room is $196.88 per night inclusive of tax, and the rate for a laser light-show view room is $208.13 per night. Our group rate for rooms may be used May 20th through May 30th subject to availability.

Reservations may also be phoned to (888) 789-3090. Our meeting name is: Florida State Elks Association 2018. You must use this to obtain our group rate.

The cutoff date for reservations is 5:00 p.m. April 23, 2018 or when sold out. Please do not wait as we WILL sell out before April 23, 2018!

On our website you will find the following:

  • The link to Marriott’s Online Reservations Website

  • The Preliminary 2018 State Convention Agenda

  • The link to Preregister for the Convention & Order Your Name Badge

  • The link to Purchase Tickets ($25) for the Friday Luncheon hosted by the FL Ladies of Elks (Everyone Invited)

  • The link to Purchase Tickets ($10) for the Saturday Awards/Major Projects Luncheon (Elks & Guests)

  • The Resort Map & Driving Directions – Orlando World Center Marriott

Please be advised, neither the Lodges nor the Florida State Elks Association is exempt from paying the 12.5% tax on rooms. Please do not waste the Marriott’s time trying to convince them otherwise at check-in or check-out.

Rooms are in several different towers at the Marriott as follows:

  • Bldg. 1 - South Tower – Lower rise – medium distance from convention center – Rooms 10101 to 11010.

  • Bldg. 2 - East (Main) Tower - Hospitality Rooms are here and this one is closest to convention center – Rooms 20436 to 22876.

  • Bldg. 3 - West Tower – Quieter part of hotel, ground floor quiet pool rooms, furthest from convention center – Rooms 30101 to 30825.

  • Bldg. 4 - North Tower – Where Officer Training is held, accessible to flat uncovered parking lot – Rooms 40401 to 41931.

When you check-in and get your room number, the towers are noted by the first digit of the room number. (i.e. room 20145 would be located in the East (Main) Tower – Bldg. 2. The next two digits are the floor number (01 = first floor) followed by the room number (45 = room 45).

The Elevators at the Marriott can be tricky. Each tower has a set of elevators. The East (Main) Tower has a set of high-rise and low-rise elevators. The low-rise elevators permit access to floors 1-10 only. To get to any floor higher than 10 in the East (Main) Tower you must use the high-rise elevators which access floors 11-28. Please note, if your room is located in either the East, South, West or North Towers on floors 1-10 and you wish to go to a hospitality room on floor 23, you must first take your elevator down to either the lobby level (2nd floor) or the first floor and then transfer to the high-rise elevators to access floors 11 through 23.

Hospitality Rooms will operate on the following schedule:

Thursday Night 5/24 – 4:00 p.m. to 11:00 p.m.
Friday Night 5/25 – 5:30 p.m. to 11:00 p.m.
Saturday Night 5/26 – 4:00 p.m. to 11:00 p.m.

There will be an easel in the Marriott Lobby listing the rooms and their locations along with any flyers or announcements pertaining to the hospitality rooms.

The Saturday Awards Celebration & Major Projects Luncheon will be held on Saturday afternoon in conjunction with our outstanding youth and volunteer presentations. There will be a nominal fee of $10 charged for this event. Tickets will be issued and mailed prior to the convention for this and the ($25) Friday Luncheon sponsored by FLOE. For those wishing to view the Saturday awards presentations and not participate in the luncheon, chairs near the stage will be available at no charge.

The Marketplace will be hosted in its own room this year and will be open as follows:

Thursday Night 5/24 – 10:00 a.m. to 5:00 p.m.
Friday Night 5/25 – 8:30 a.m. to 3:00 p.m.
Saturday Night 5/26 – 8:30 a.m. to 1:00 p.m.

Anyone wishing to host a display or sales table in the Marketplace should contact Dana at the FSEA at dana@floridaelks.org. The cost for space in the Marketplace is $50 per day or $125 for the entire show!

The Harry-Anna Silent Auction will take place on Friday from 10 am to 3 pm and on Saturday from 8:30 pm to Noon. Items may be donated to the silent auction and the proceeds from the sale of your item(s) will be donated to Harry-Anna in your name based on its predetermined value. Any proceeds over the predetermined value of the item(s) will be donated in the name of the buyer. Items may be dropped off at the Florida Elks Youth Camp or may be brought directly to convention. A form for each item must be completed and turned in prior to the auction. Cash may also be contributed to the auction and with it gifts will be purchased for the auction. For more information on donating items to the auction please contact Dana at dana@floridaelks.org.

The Florida Ladies of Elks will be hosting their Annual Chinese Auction to benefit the Florida Elks Major Projects our Youth Camp & Therapy Services. Tickets may be purchased at the auction or at the Elks registration counter. Tickets are 10 for $5 or 25 for $10. The auction will be held from 10 am to 5 pm on Thursday and from 10 am to 12 noon on Friday. Winners will be drawn at the FLOE Luncheon on Friday. You MUST be present to win!

Free overnight self-parking is available to guests of the hotel. Valet parking will be at least $26 per day and parking for daily visitors will be around $15. Upon arriving at the Marriott, it is suggested that you drive to the front entrance and through the unloading lanes. There you can drop-off your luggage with a bellman, obtain your claim ticket for it and then drive to the self-parking garage or the North/West Tower flat parking lot. The walk from the self-parking garage to the front desk is about 10 minutes or you can catch the shuttle that runs continuously (about every 20 minutes) between the parking garage and the front entrance. The Marriott did not see the slow shuttle service as a problem last year so be forewarned! Once back in the Marriott lobby you may check-in to your room and once in your room you may call the bell desk from your in-room telephone to have your luggage delivered to your room. Daily park guests will want to get a 50% off voucher from the FSEA registration desk each day you park. Upon departing each day simply use your discount ticket at the self-pay kiosk.

Check-in time is 4:00 pm. The Marriott is a very popular hotel and is sold-out most nights. Do not be surprised is you are unable to check-in before 4 pm.

Check-out time is 11:00 am. Last year there was up to a two hour wait for bellmen. The Marriott did not seem to believe this, and I doubt will do much about this. Be forewarned!
